-> What are emergent sessions?

Before

During

  2. Jump onto the #emergent sessions channel on slack
  3. Make some noise and find other people to propose a session with you
  4. Put together a simple run sheet
  5. Get in touch with us and ask for help!
  1. Have fun and keep it simple
  2. Check out the tips for facilitators (see below) and make use of the facilitation resources (above)
  3. Make it participatory and accessible
  4. Use emoji, gifs  etc.
  5. Sit back and enjoy the time you have with  participants
  1. Tell us about how it went on Slack
  2. Stay in touch and keep the ball rolling
  3. Write up a few key points from your session to share
  4. Join another emergent session and learn more cool stuff
  5. Thank all your participants and shower them with joy

Things to remember

  1. Perfect is the enemy of done -  less is more
  2. “If you are not living on the edge you are possibly taking up too much room”
  3. Be the change you want to see
  4. make sure people can edit your participatory notepad :man-facepalming:1
  5. sometimes you win, sometimes you learn
  6. If you know people in the community who would be interested, please reach out and actively invite them! Since the Emergent Sessions section is not integrated with the regular schedule, not everyone will be aware that this is taking place, so we rely on a bit of promo from the facilitators as well.

Session Formats

…Or maybe use any new type of session we haven’t come up with yet. Do I hear party / karaoke?

create a dance room on Zoom?

Facilitating a session? Check this:

  1. Have you been able to claim host on Zoom?
  1. To claim host:
  2. Open the Participants panel. The participants list will display.
  3. Tap Claim Host at the bottom of the participants list. ...
  4. Enter your 6-digit host key, then tap OK.

  1. Do you have all the necessary Zoom tools along the nav bar for use in your sessions
  1. Can you see breakout rooms?
  2. Do you have polls ( if needed)
  3. Do you want to test your screen (and audio) share?

  1. Are you using Miro or any other tools during your session? Are you all set? Do you have instructions ready for your participants?

  1. Do you have a buddy/co-facilitator to help with mute/unmute - interacting with people via the chat?

  1. If you are recording, please announce that you are "about to press record, and if folks don't want their image to be captured, please turn off your camera now"

  1. You have the power to cap participants entering your room at any stage. We advise turning on the waitroom, depending on your comfortability, between 16-30. Once you turn on the wait room, zoom will share a slide deck that states "this session is at capacity, please choose from another live session on the schedule"

[The facilitators’ workflow: when you see the participants’ number is reaching to the number you aim for, you can turn on the waiting room by “Participants” -> “More” -> “Enable Waiting room” to cap.]

  1. Do you know how to turn the waiting room on?

  1. Do you need anything else? Please ping @Gunnardejong, @Tomsalmon or @phivk on Slack

  1. Remember to end on time and press end meeting for all.  If you want to continue the discussion please use the common spaces/spatial chat. Just let your participants know where to go.

  1. If an issue arises during your session, you or your co-facilitator should head to the #help channel on slack or in Spatial chat. A volunteer will attend you to asap.

  1. If you want to debrief on your session or tell us about what happened ping us on #emergent-sessions channel on slack or Dirk or Chad on the #facilitator-coaching channel.

  1. Have a great session. Everyone’s here to have fun together and see what emerges - so relax and have fun!
